What is TRIM?

TRIM [Total Records Information Management] is the records management software being implemented at USP from 2011. 

TRIM will manage the functional classification system for USP records, allowing filing of hard copy and soft copy documents to the same virtual folder. TRIM will also manage the Retention and Disposal schedule, which represents SMT authority to destroy or archive records.

Electronic documents, including emails, spreadsheets and presentations, can be added directly in their native form to the records system. This permits their use as a live document unlike a 'print and file' environment.

Unlike a simple networked folder, TRIM preserves their value as a record by preventing deletion, controlling edit rights and by logging all access or modification. "Finalised" records cannot be altered.

Paper records are registered into TRIM when placed on file. The 'virtual' file in TRIM tells staff what is on file without them having to check the physical folder and gives them a document number if they do need to access the original.
