Online and Manual Registration - University of the South Pacific

Online Registration Problems - Information for Staff

All students that are registered at Alafua, Emalus and Laucala Campuses are required to register online for courses. Students can sometimes have difficulty registering online, the most common reasons and solutions for this are:

Reason

Solution

They have outstanding fees owing to USP and their account in on “hold”

They must pay all outstanding fees and the hold will be lifted in three working days.

They haven’t passed the prerequisite, or they passed the course in the previous semester but their grade is not in the system

They can apply to the course coordinator for a prerequisite exemption. Exemptions should only be granted if the student is deemed to have successful completed courses equivalent to the prerequisite and have a likely chance of passing the course. Students that undertook the prerequisite in the previous semester will have to wait until the result is loaded into the system and they will then be able to register.

They haven’t passed the ELSA test or EL001.

Students must pass the ELSA test, EL001 or have been granted an exemption to be allowed to register in 200 or 300 level units.

The courses appear on the students registration menu in red with “BA20” or “BA30” error message.

Students must complete four 100-level courses before progressing to 200-level and pass three 200-level courses to progress to 300-level. You may recommend to SAS, that a student be allowed to progress to higher level studies, but there must be justification and proof that the student is likely to succeed (this is usually determined by their academic results).

No courses, or the wrong courses, appear on the students registration menu.

There may be an error with the student’s record on Banner (the student administration database). The student should be advised to consult SAS staff to check their account.

Student can’t register online as they have attempted the course too many times.

If you, as the course coordinator, believe that the student has a good chance of passing the course on their next attempt you may approve a manual registration. If however, you feel the student is unlikely to pass the course they should be counselled to change program.

Student wants to register in a course that they have already passed, to better their grade, but cannot register online.

Students are able to register for courses to better their grade but cannot do this online. The course coordinator can approve a manual registration.

Where possible students must always be encouraged to register online. Only in the above exceptional circumstance can a student register manually. Note also that final approval to register in courses is the responsibility of SAS and all manual registration and prerequisite waiver forms MUST be stamped with the school stamp to be processed by SAS.
