POSITION TITLE: Part Time – Project Assistant
PROJECT: Digital Connectivity and Cybersecurity Partnership (DCCP) – Pacific
POSITION LOCATION: Suva, FIJI

BACKGROUND:
Nathan Associates, a Cadmus Company is implementing the USAID Digital Connectivity and Cybersecurity Partnership Project in the Pacific region. With its headquarters based in Suva, Fiji, the DCCP project spans 12 Pacific Island Countries – Fiji, Federated States of Micronesia, Kiribati, Marshall Islands, Nauru, Palau, Papua New Guinea, Samoa, Solomon Islands, Tonga, Tuvalu, Vanuatu. DCCP – Pacific seeks to improve digital access and connectivity and support the efficient delivery and use of digital services throughout Pacific Island Countries, through the following objectives:
1. Improving broadband access, resulting in more secure and affordable services;
2. Amplifying successful public-private initiatives, resulting in a strengthened regulatory and legal framework for regional alignment;
3. Advancing digital government services; and
4. Enhancing essential digital skills of civil servants, officials, and citizens, supporting the next generation of ICT specialists.
DCCP supports workforce readiness enabling students and youths to be part of the DCCP initiatives. DCCP believes in cultivating the talented graduates that are ready to join the ICT, digital connectivity and cybersecurity field.

ROLE AND RESPONSIBILITIES
To provide support to the finance, operations and technical team by managing general administrative and technical support:
Responsibilities:

Technical Support:

  • Provide administrative support to technical coordinators and leads.
  • Assist Chief of Party, MEL Specialist, Grants Manager and technical leads with virtual meetings, events, research and data collection.
  • Assist in organizing technical team meetings and maintaining related documents (notes, recordings etc.).
  • Support digital skills training

Communication Liaison:

  • Assist with report writing, proofreading, and formatting
  • Assist in drafting and disseminating project-related communications.
  • Assist with communications and social media outreach.

Event Coordination:

  • Assist workshop coordinator in project-related events, including workshops, seminars, and conferences.
  • Assist in preparing event materials and coordinating logistics.

Documentation Management:

  • Maintain an organized and secure filing system for project-related documents.
  • Ensure version control and proper archiving of documents for easy retrieval.
  • Stakeholder Engagement:
  • Facilitate communication with external partners, stakeholders, and vendors.
  • Assist in building and maintaining positive relationships with key stakeholders.

Knowledge Management:

  • Contribute to the creation and maintenance of a project knowledge base.
  • Assist MEL in capturing and sharing lessons learned and good practices.

Training Material Development:

  • Collaborate with the technical team to develop training materials for workshops and training sessions.
  • Ensure training materials are organized and readily available.

Technology Support:

  • Provide basic ICT support for the project team.
  • Coordinate with ICT personnel to address technical issues promptly.
  • Assist with day-to-day ICT operations

QUALIFICATIONS AND SKILLS

  • Final Year or Recently graduated from a university or a Vocational Institute looking to gain industry experience.
  • Strong organizational and multitasking abilities.
  • Excellent verbal and written communication skills.
  • Proficient in computer applications, information systems or engineering
  • Ability to work well in a team and independently.

TIMEFRAME AND REPORTING LINES

Duration: 6 months (3-5 days upon negotiation)
Reporting line: The Project Assistant will report directly to the Finance & Administrative Manager, Workshop and Logistics Coordinator and the technical coordinators.
Supervision and Support: Regular check-ins and support will be provided by the designated supervisor and technical coordinators
Evaluation: Performance will be assessed based on the ability to fulfill the outlined responsibilities and contribute positively to the administrative functions and technical support of the project.
