USP Vehicle Insurance Policy

USP purchased a central ‘Vehicle Insurance Policy’ for all campuses administered by the Risk and Insurance Unit located: Laucala Campus, Suva, Fiji. Campuses must comply with the Guidelines, Policies, and Procedures for the safe operation and management of University owned Vehicles for all campuses. *Note: The General Insurance Policy document does not include all the Insurance terms, conditions, limits, etc. Please contact the Risk and Insurance Unit if you have any queries or require additional detailed information. Managing your Risks – Examples:

  • Staff delegated responsibility and Approved Drivers must be familiar with the ‘USP-Owned Vehicles Policy’ and General Insurance information.
  • Review/Update Approved driver’s status on a regular basis (Drivers license status and record).
  • Ensure the Risk/Insurance unit and Accounts Payable has an updated record of staff responsible for vehicles and approved drivers.
  • Ensure the Risk and Insurance unit and Finance Fixed Asset Section have an updated record of USP owned Vehicles.
  • Maintain vehicles as scheduled
  • Approved Drivers: Practice defense driving and comply with all road safety rules.
  • Conduct Vehicle inspections: i.e.: start of the day, end of the day, before trips
  • Maintain the Daily Vehicle Log: Mileage, used by, reason, etc.

USP-Owned Vehicles Policy Document includes: policies, responsibilities and procedures to ensure USP Vehicles are properly managed, roadworthy, insured and maintained such as: Driving on University Business, Procedures insuring your USP Vehicle, Responsibilities/Duties assigned to: Staff delegated ‘Responsibility for Vehicles’ and USP Approved Drivers etc. Insurance Policy – Important points (As per Policy Terms, Conditions and USP Policies) USP-Owned Vehicles must be insured. Procedures to include or remove a USP Owned Vehicle from the insurance schedule: Refer to USP Owned Vehicles Policy; Section ‘Insurance’. Insured: USP owned Vehicles, including trailers and vehicular equipment of every kind and description, including accessories, tools and spare parts. Highlighted Events Insured:

  • Damages/Windscreen damage
  • Passenger Liability
  • Third Party Property Damage
  • Stolen items (ONLY if secure and not left unattended)

Highlighted Exclusions:

  • Driver is under the influence of any drug or of any intoxicating liquor.
  • Vehicle is driven by a person not licensed to drive under the relevant laws, by-laws and regulations
  • Vehicle used for Motor sport, being let for hire, Outside geographical limits
  • Driver leaves the scene of an accident when it is an offence to do so.
  • Using the vehicle in an unsafe condition or unroadworthy condition or is loaded contrary to law.

Excess/Deductibles

  • There are two types of excess which apply to this policy: Basic Excess and Age/Inexperienced Excess. (Refer to General Policy for details)
  • The Deductible will apply to each and every claim or series of claims arising from one event. This deductible will be paid by the respective Faculty/School/Department involved or Driver (i.e.: Driver did not comply with USP Vehicle Policy or Insurance Terms/Conditions)

Reporting Vehicle Accidents/Damage [USP Owned Vehicles and Rentals (Rented by USP on University business)] *IMPORTANT* Driver should not jeopardize the university’s position in regards to its insurance by admitting fault or liability, nor should any reimbursement be offered or made under any circumstances.
